What Is OneDrive and How Do I Control It?

What is OneDrive and how can I control it? OneDrive is a storage solution provided by Microsoft that, much like Google Drive, Dropbox, and other cloud-based storage solutions, allow you to store files on the Internet and access them with a desktop app or browser. However, the difference is that OneDrive is a part of Microsoft Office and Windows, meaning that the service and the desktop app are pre-installed.

OneDrive is Microsoft’s answer to Apple’s iCloud and Google’s Drive. However, OneDrive is not a cloud storage service. (It’s a cloud storage service with an awesome name that is easy to say and remember, which is important if you are trying to compete in the cloud storage space.) Rather, it’s Microsoft’s way of providing cloud storage and file synchronization across devices. And that’s a different approach from what the two companies are taking.

Many people know Google Drive and iCloud, but what is OneDrive? In short, it’s a similar version of cloud storage, but from Microsoft.

You can do many of the same things with it that you can do with other clouds. But what’s great is that you don’t have to worry about using third-party utilities on your Windows 10 computer. Now that you have a general idea of OneDrive, you need all the details to use it properly.

What is OneDrive?

OneDrive is Microsoft’s cloud storage software. The cloud is part of Microsoft 365, but you can also buy OneDrive on its own if you don’t need the other features.

Microsoft offers multiple tiers of OneDrive, so you can get up to 6TB of storage with a customized plan. Commercial plans offer 1 TB of storage, but one plan offers unlimited storage.

As part of Microsoft 365, you may already have access to OneDrive. You will then have access to other features such as Microsoft Office and Skype.

OneDrive can be used on your Windows 10 computer, as well as in your browser and on your mobile device. This way you have easier access to your files and you don’t always have to use the same computer.

How much does it cost?

You can use OneDrive for free. With the free plan, you get 5 GB of storage and can use many basic features.

If you run out of storage, you can upgrade to a standalone OneDrive subscription and get 100 GB of storage. This plan only costs a few dollars a month, so it’s ideal if you want to use the cloud for many things.

You can also get OneDrive as part of your Microsoft 365 Personal subscription. The plan costs about $70 per year or $7 per month and currently offers up to 1TB of storage. You can also use Microsoft Word, Excel, PowerPoint and Outlook.

Microsoft 365 Family has the same features as the Personal version, but up to six people can use one account. You also get up to 6TB of storage capacity.

How do you get to?

If this is your first time using OneDrive, you may need to create an account. However, you can also sign in with your existing Microsoft account.

You can log in to your account from the OneDrive application on your computer or from your browser. If you want to use OneDrive on your mobile device, you can sign in there too.

For each option, there are different steps to follow to register.

PC-based

If you have the latest version of Windows 10 installed, you probably already have OneDrive on your computer. If not, you can download it from the Microsoft Store. Here are the steps after loading.

  • Go to Start to open the applications.
  • Search for OneDrive to find this application.
  • Select OneDrive from the list to open it.
  • Use your Microsoft account details to sign in.

Once you are in OneDrive, you can save any files you have there. You can customize it to your needs and has plenty of storage space.

On site

You can also sign in to OneDrive from the OneDrive website, and you can use your favorite browser. Once you are on the OneDrive page, sign in with your Microsoft account.

You can then access your cloud storage and manage your files and other functions. However, you should also use a desktop application so that you can easily add files from your computer and use the website later.

On mobile phone

Another benefit of using OneDrive is that you can access your storage from any device. You can download the OneDrive app on your phone, whether it’s an Android or iPhone.

Then you can follow the same steps to log in to the OneDrive website. Make sure you know your Microsoft account information so you can view and manage your files on the go.

Saving to OneDrive

After you set up OneDrive, you can start saving files as you create them. You can also copy and move existing files to the cloud. In all cases, you can use OneDrive as your primary storage or store copies of your documents on your computer.

While you’re setting everything up, you can move some important files to the cloud. But you can also add new documents to OneDrive over time. Think about how you can do both.

When creating a file

Whether you’re working in Microsoft Word or another program, you can save the new file directly to the cloud. When you are ready to save, you can choose File and then Save As to bring up a menu.

You can then select OneDrive as your storage location. If you want to further organize your cloud storage, you can also create folders. You can also select a specific folder to use.

After you save the file, you can navigate to OneDrive and select the desired folder, if you are using it. There you can see your document.

With existing file

If you want to add files to OneDrive after you set it up, you don’t need to create new files. You can find files that are on your computer and copy or move them to the cloud.

First, open OneDrive on your computer. You can then create all the folders in which you want to organize your files.

Next, open File Manager and browse for the files you want to move to OneDrive. Select the file you want to move and drag it to the cloud storage. You can also copy files if you want to keep them on your computer and move a copy to OneDrive.

How to find information in OneDrive

Once you start using OneDrive, you’ll find that you’ve collected a lot of information there. If you have one of the high-volume storage plans, you may have a lot of files and it can be hard to find what you need.

If you are looking for a specific document, you can use OneDrive’s search feature to find it. At the top you will see the search function. Then type in the field what you want to find.

Depending on how you’ve organized your OneDrive, you may have other options. If you use folders for different things, you can navigate to the folder you want. You can then refine your search and use the search function if you still can’t find anything.

Labels are another great way to organize and retrieve information. You can use tags to search for specific file types. If you’re looking for an image, OneDrive can even tag it, which it recognizes to help you.

Using OneDrive

Setting up OneDrive and adding files is one thing. You can get started relatively quickly, but you can also do much more with OneDrive.

Whether you use OneDrive alone or as part of Microsoft 365, think about what you can do with the cloud. This allows you to make the best use of your storage space.

Download theapplication

If you have only used the web application so far, make sure you have the OneDrive application installed on your computer. You can then easily store files in the cloud.

Although you can access your account through the website, you may not be able to do everything you want. Fortunately, the OneDrive app is free to download, so you don’t have to pay extra for it.

Add records

You should also add the files you want to be able to access from anywhere. OneDrive can store everything from Word documents to PDFs and photos.

Of course, you have to leave space to add other files, especially if you have the free version. However, if you have a few files that you use often, you can add them to the cloud for easy access.

Making backups

Another great way to use OneDrive is to back up your files on your computer. You can set up folders on your computer to automatically sync with the cloud.

On your computer, go to OneDrive and then to Settings. Select the folders you want to sync between your devices. However, be careful when deleting items, as deleting them will also affect your entire account.

If you use the OneDrive app on your phone, you can also back up your photos. Under Settings, click the Backup tab. Check the box under Photos and videos.

The ability to back up your files and photos can be crucial if your computer crashes or is lost. By setting up automatic backups, you don’t have to remember to make backups.

OneDrive file sharing

If you want or need to share your OneDrive files on your computer or with someone else, you can do that too. To share your files, you can go to File Manager on your computer.

Right click on the file you want to share and select Share next to the blue cloud icon. You can then set modification permissions if you do not want the recipient to modify the file.

Change the permissions so that the recipient can view the document. You can then enter the recipient’s email address, add a message and send it.

Restore old files

You have already deleted an old file or made a change, but you wanted to get it back? With OneDrive, you don’t have to worry about that.

To do this, go to the OneDrive website, where you can restore deleted files or find an older version. To find deleted files, go to the Recycle Bin.

Note that Microsoft does not keep old files forever. Depending on your account, you have 30 to 90 days to retrieve the file. When you find what you need, you can select the file and click Restore.

If you want to restore an old version of an existing file, you can go to the web application and search for the file you want. Right-click and select Version History. This way you can find the version you want to restore.

Check memory location

If you have a lot of files, you may want to manage your storage space. This will help you determine if you need to delete certain items or update your account.

Open the OneDrive application on the desktop and click Help and Settings. Then select Manage Memory to get an overview of the remaining memory capacity.

If you want to check your storage space on your phone or tablet, you can always go to the OneDrive app. This time you need to click on the Me tab at the bottom of the screen. The tab shows how much memory you are using.

Adding additional memory

If you find that you don’t have as much space as you would like, there are several ways to increase it. One of the easiest ways is to delete old files that you no longer need.

You can examine your folders and files to see what you can delete. Don’t forget to search the Recycle Bin and permanently delete the old files.

If you need to store files but don’t need them in the cloud, you can also move them to local storage on your computer. Make a copy of the file and move it to your computer, then delete the version in the cloud.

If you still don’t have enough memory, you may need to upgrade.

Swimming on a cloud

If you’re new to Windows 10, you may be wondering: What is OneDrive? But now you know! Microsoft’s cloud storage software offers many features and options that allow you to store your files and customize them to your needs.

Choose the storage option that works best for you, but feel free to upgrade later. This way, you don’t have to delete important files to free up storage space.
